Postponement & Cancellation

If the Covid-19 pandemic taught us anything, it's this; Hope for the Best, Plan for the Worst. Whilst the chances of event disruption are now quite small, we want you to know how we plan to handle things, should it arise.

We Run (or walk) In Most Weather

This is New Zealand! Sometimes it rains, sometimes it's windy, sometimes it's cold. We do not postpone or cancel events because of this. We will only postpone or cancel an event if the Race Director determines that it would be unsafe to proceed.

Decision Announced Online

Please do not email to ask if your event is going ahead. As soon as any decision to postpone or cancel is made by the Race Director, it will be announced via the Event Web Site and facebook page. If there is nothing there, the event is ON.

First Option Is To Postpone

In all cases, our preferred backup option is to postpone the event until a later date. Only in the most extreme of circumstances - when no viable alternative date can be found - will we elect to cancel the event outright.

Postponed! What Now?

What happens and what are your options if your event is postponed?

Where the original event has been postponed to a new date, those who hold a registration to the event at the time of postponement have the following options:

Option One / Race on the New Date
The default ("do nothing") option is to race on the new event date.. You do not need to take any action to exercise this option. Your original registration is automatically valid for the new date. All you need to do is turn up in the right place at the right time and you are good to go. It doesn’t matter that your e-ticket, race number or phone reminder are all still pointing to the original race date. The new date will be shown on the event web site and discussed on our Facebook page.

Option Two / Go Virtual
Maybe you aren't able to make the new event date - but you still have your eye on earning that stunning finisher medal? In that case, you can switch to the virtual event and complete the event on your own schedule and at your most convenient location. All of the normal provisions of our virtual events apply - including how times are uploaded, what days you must complete the challenge, etc. Read about these on our Virtual Events page.
Important Bonus! Provided you switch to the virtual event by midnight on the day prior to the re-scheduled in-person event AND record a virtual finish time within the time limits of the virtual competition, we'll provide you with a discount voucher to the value of 33% of the entry fee originally paid.
You can collect your finisher medal from our warehouse in Hobsonville, Auckland OR at another of our events OR have it couriered to your address for a small fee.

Option Three / Defer To Next Year
If you can’t make it to the rescheduled event – and prefer not to take the virtual option – then you can defer your entry to the same event, next year. Your transfer must be completed by midnight on the day prior to the in-person event taking place. For instructions on completing a transfer, see our Making Changes page.
Important! We charge a small administration fee of $5 for kids’ dash and $7.50 for all other races, to help us offset administration costs already incurred on your behalf (e.g. race number printing, timing tags, postage costs, finisher medals, etc).

Cancelled! What Happens Next?

What happens and what are your options if your event is cancelled?

CANCELLED

Running Events only cancelled three events out of over twenty during the Covid-19 Pandemic (and we have *never* cancelled an event outside of the pandemic) so the chances of your event being cancelled are extremely small. Still, just in case, we have developed these options so that know what to expect if it happens:

Option One / Go Virtual
Where the in-person event has been cancelled, the existing races (all distances) will be converted to a “Competitive Virtual” race - this is the default "do nothing" option. You do not need to take any action to exercise this option. There will also be a “Fun Virtual” option for each distance. The Competitive Virtual option will have more stringent rules around the Strava workouts to be used to validate your run and this will be eligible for merit awards. The Fun Virtual option is easier to qualify a time for and it mostly about participating and earning your finisher medal.
Important Bonus! All entrants registered for either Virtual Run of a cancelled event will be receive a voucher to the value of 50% of the original entry fee paid. Furthermore, everyone who records a valid finish time in either virtual run – will have their finisher medal couriered out to them at our expense.
